Zoho Data Hygiene
Zoho Data Hygiene — Correcting Full-Caps Names
Clean records • Better reporting • Professional data standards
What this lesson is about
In Zoho, some records are created automatically from client-submitted forms. Because the data flows into Zoho exactly as entered, person names may sometimes appear in ALL CAPS. This is not automatically a team error, but once the record is in Zoho, the team must still correct the formatting so that our data is clean, readable, and suitable for proper reporting.
By the end of this lesson, you will know
- Why some Zoho records show names in full caps
- Which name fields must be checked
- How names must be formatted correctly
- Why this matters for reporting and record quality
The non-negotiable team rule
This applies to any person-name field in Zoho — not only representative fields.
- Representative Name
- Representative Surname
- Name of the person submitting the request
- Any other person-name field shown in the record
Examples of what must be corrected
Use these examples as your standard when reviewing records.
| Incorrect in Zoho | Correct format | Field type |
|---|---|---|
| MLALANDLE QOBOLWAKHE | Mlalandle Qobolwakhe | Representative name |
| MALESHWANE JULIA LIEFO | Maleshwane Julia Liefo | Representative name |
| BOITHATHO STANLEY | Boithatho Stanley | Representative name |
| MASEGO MOSEPELE | Masego Mosepele | Person submitting request |
| MASEGO SIPHOKAZI NHLAPHO | Masego Siphokazi Nhlapho | Representative name + surname |
Lesson content
Open each section and review the rule carefully.
1) Why names appear in full caps
›
In many cases, records are created from forms completed by the client or another user. Zoho may display the data exactly as it was typed on that form. If the person entered a name in full caps, the name may appear in Zoho in full caps too.
2) What the team must do in practice
›
As part of normal record review, team members must quickly scan all visible person-name fields before continuing. If any person’s name appears in full caps, it must be corrected immediately.
- Open the record and review the visible person-name fields.
- If a name is in ALL CAPS, edit it.
- Correct only the capitalisation.
- Continue processing once the record is clean.
3) Why this matters for reporting
›
Full-cap names may look minor, but they affect the professionalism and consistency of our records. Clean data makes it easier to read, verify, report on, and present information internally and externally.
- Professional appearance: records look cleaner and more credible
- Better readability: easier for staff to review and use
- Consistency: the system follows one clear naming standard
- Proper reporting: outputs and reports present cleaner data
4) The final standard to follow every time
›
Whenever you work in a Zoho record, treat this as a standard quality-control check. If any person-name field is in full caps, correct it before moving on.
